This policy explains how ClanHQ Pvt Ltd collects, uses, and protects information through the QPulse product. Written in plain language so you actually understand it.

1. Overview

QPulse is a live session engagement tool operated by ClanHQ Pvt Ltd, a company incorporated in India. This Privacy Policy explains how we collect, use, store, and protect information when you use QPulse as a host or as an attendee.

This policy is governed by the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 (SPDI Rules). We also align with the principles of India's Digital Personal Data Protection Act, 2023 (DPDP Act) in anticipation of its full enforcement.

By using QPulse, you agree to the practices described in this policy.

2. Who this applies to

This policy applies to two types of users:

Hosts are individuals who create accounts, create sessions, and run QPulse in meetings, training sessions, townhalls, or other events. Hosts provide personal information such as email addresses during registration.

Attendees are individuals who join a QPulse session using a session code shared by a host. Attendees do not need to create an account or provide personal information to participate in a session. Responses submitted by attendees are anonymous by default.

3. Data we collect

For hosts, we collect the following information:

Account information: Your email address, provided at the time of registration. We may also collect your name if provided.

Session data: Sessions you create, including question content, session settings, and response data submitted by attendees during your sessions.

Usage data: Information about how you use QPulse, such as sessions started, questions asked, and timestamps of activity. This is used to improve the product and provide usage statistics.

Communications: If you contact us by email or WhatsApp, we retain those communications to respond to your query.

For attendees, we collect only:

Session responses: The answers you submit to poll questions or word cloud prompts during a session. These responses are stored anonymously. We do not collect your name, email address, phone number, or any other identifying information from attendees.

No sensitive personal data as defined under the SPDI Rules (including passwords, financial information, health conditions, biometric data, or similar) is collected by QPulse from any user.

4. How we use your data

We use data collected from hosts to:

Provide the QPulse service, including creating and running sessions, displaying live results, and enabling session management.

Send transactional emails related to your account, such as verification emails, session summaries, or important service updates.

Improve QPulse by understanding how sessions are being used and where the product can be made better.

Respond to support queries submitted by email or WhatsApp.

We use session response data from attendees solely to display live results during a session and to provide post-session exports to the host. We do not use attendee response data for any other purpose.

We do not use any user data for advertising. We do not run targeted advertising on QPulse and we do not share data with advertising platforms.

5. Data sharing and third parties

We do not sell your data to any third party.

QPulse uses the following third-party service providers to operate the product. Each processes data only to the extent necessary to provide their specific service:

Supabase: Our database and authentication provider. Host account data and session data are stored in Supabase infrastructure. Supabase is SOC 2 Type 2 certified and applies industry-standard security practices.

Vercel: Our hosting and deployment platform. QPulse runs on Vercel's infrastructure. Vercel may process request metadata such as IP addresses as part of serving the application.

Resend: Our transactional email provider. Host email addresses are used by Resend solely to deliver emails you have requested, such as account verification or session summaries.

All third-party processors are contractually obligated to handle data in accordance with applicable law and only for the purposes we specify. We do not authorise them to use your data for their own purposes.

We may disclose data if required to do so by law, court order, or lawful authority in India.

6. Attendee anonymity

QPulse is designed to protect the identity of session participants.

Attendees join sessions using a 6-character code. No account, email address, or login is required. No personally identifiable information is collected from attendees during a standard session.

Session responses are stored as anonymous data points associated with a session, not with an individual. The host sees aggregate results, not individual identities.

If a host configures a session to collect identifiable responses (for example, by asking attendees to include their name in a text response), that is the host's responsibility. QPulse does not have a mechanism to identify attendees from the response data itself.

7. Data retention

Host account data is retained for as long as you maintain an active QPulse account.

Session data, including questions and anonymised responses, is retained to allow hosts to access post-session exports and review results. We retain this data for a reasonable period consistent with the purpose for which it was collected.

If you close your account or request deletion of your data, we will delete your personal information and associated session data within 30 days of receiving your request, subject to any legal obligation to retain records.

You may submit a data deletion request at any time by emailing hello@qpulse.in.

8. Security

We take reasonable and appropriate steps to protect your data against unauthorised access, disclosure, alteration, or destruction.

These measures include encrypted connections (HTTPS/TLS) for all data in transit, access controls limiting who within ClanHQ can access production data, use of reputable infrastructure providers with their own security certifications, and regular review of our security practices.

While we take security seriously, no system is completely immune to risk. In the event of a data breach that affects your personal information, we will notify you and take appropriate steps in accordance with the IT Act and applicable rules.

9. Your rights

As a host using QPulse, you have the right to:

Access: Request a copy of the personal data we hold about you.

Correction: Ask us to correct any inaccurate information.

Deletion: Request that we delete your account and associated data.

Withdrawal of consent: You may stop using QPulse at any time. If you wish to withdraw consent for any specific processing activity, please contact us.

To exercise any of these rights, please email us at hello@qpulse.in. We will respond within a reasonable timeframe and no later than 30 days from receiving your request.

Attendees who wish to know whether any data was collected from their participation in a session may contact the host who ran that session, or contact us at hello@qpulse.in.

10. Cookies and tracking

QPulse uses cookies and similar technologies that are strictly necessary for the service to function. These include authentication tokens that keep hosts logged in and session state management that enables real-time session functionality.

We do not use tracking cookies, advertising cookies, or analytics cookies that profile your behaviour across other websites.

We do not use Google Analytics, Meta Pixel, or similar third-party tracking scripts on QPulse.

11. Children

QPulse is intended for use by professionals and organisations. We do not knowingly collect personal data from children under the age of 18.

If you are a host and intend to use QPulse in a context involving minors such as educational sessions, you are responsible for ensuring you have appropriate consent from parents or guardians as required by applicable law.

12. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify registered hosts by email.

We encourage you to review this policy periodically. Your continued use of QPulse after any changes constitutes your acceptance of the updated policy.
